For this year's FYC Events, we anticipate that you will wish to hold an in-person screening and/or panel, a live-streamed event or a streaming pre-recorded event. We recommend considering hybrid events - an in-person event concurrently live-streamed or recorded for VOD - to maximize member reach.
Your Emmy-eligible content may be viewed online, either on the Television Academy's Viewing Platform, on a partner-hosted FYC platform, or on the partner's existing platform.
Our authorized FYC campaign options and guidelines are updated; we encourage you to thoroughly review all the pages and links that follow!
Please note this information is subject to change, but the content on these pages will always be the most up-to-date available. We'll also send important updates via the Weekly FYC Partner Update email.
Note that we continue to work with the Los Angeles County Department of Public Health to ensure all possible safety measures are in place when holding live, in-person events for Television Academy members.

Emmy Season Step-by-Step Process
To participate in the 75th Emmy Awards competition, here are the important steps (NOTE: with the exception of Step 2, all other steps are suggested but not required to participate in the Emmy Awards competition):
- Reserve an FYC Event Date: If you wish to hold one or more FYC events for the programs you represent, register for and take part in the Wednesday, January 18 & Thursday, January 19 FYC Lottery to secure dates for your event(s). See instructions and details under FYC Event Lottery.
- Enter the Emmy competition: Our online Entry Site opens Tuesday, February 21. Questions? You'll soon be able to check out our 2023 Emmy Rules and Procedures.

- Screen Your Content Online for Members: All Television Academy members have secure, efficient, one-destination viewing for FYC content on the Academy's Viewing Platform. You can upload FYC screenings on our platform beginning Tuesday, February 21. You can also host on your own FYC site, or on your existing platform. See details under FYC Screening Programs.
- Confirm and Pay for your FYC Event(s): Once your FYC Event dates are selected, plan accordingly – confirm your event details and submit an FYC Event Booking form as soon as possible and no less than five weeks prior to your event.

- Join the Television Academy by April 17: Only members can vote for the Emmys, so make certain you and your clients join or renew memberships by the April 17 deadline! FYC Event Lottery
Virtual FYC Event Lottery: Wednesday, January 18, 10:00 AM PT/1:00 PM ET and Thursday, January 19, 10:00 AM PT/1:00 PM ET (if necessary)
NOTE: Those participating in the Lottery received an official email invitation in December. RSVP deadline is Friday, January 6; reservations cannot be accommodated on the day of the Lottery. Dial-in instructions will be sent no later than January 13 to all who have RSVP'd.
2023 FYC Event Parameters:
- All entities should collaborate in advance to confirm that program entries of mutual interest secure only one booking per program.
- On weekends, there can be up to six events per day -- two 11:00 AM slots, two 3:00 PM slots and two 7:00 PM slots. All times noted are PT.
- On weeknights, there can be up to four events per day -- one slot to schedule a 4:00 PM/5:00 PM PT for EITHER New York City or other East Coast markets, OR a virtual-only 5:00 PM PT slot; another 5:00 PM PT virtual-only slot, and two 7:00 PM PT slots each day. NOTE for clarity: Only virtual events can be booked for the 5:00 PM PT weeknight slot. Only a LIVE, in-person NYC or other East Coast market event can be booked for the 4:00 PM PT weeknight slot (if virtual-only, the time slot would shift to 5:00 PM PT).
- There will be no second hold positions this year.
NOTE: You may challenge another property for their event date eight weeks before said date.
- If your event originates from the East Coast, we recommend booking the 4:00 PM PT in-person or 5:00 PM PT virtual weeknight slot, or the 11:00 AM PT or 3:00 PM PT weekend slots.
- There will be two lottery rounds to claim dates. As this is a virtual lottery, a generator will randomly assign entities their order number for each round.
- In the first round, everyone will have the opportunity to select a date for one or more properties, depending on the total number of properties that have been confirmed from their RSVP. Each property will be randomly assigned an order in which to select a date. If you only have one overall pick/property, you will complete your lottery draw after you have selected your date
- For the second round, everyone will have the opportunity to select a date for each remaining property confirmed from their RSVP. Each property will be randomly assigned an order in which to select a date.
- NOTE: Additional properties/reservations cannot be added to any partner's turn in either round on the day of the Lottery. If at the conclusion of the final lottery date there are any remaining slots available, those who need additional slots may remain on and select from those openings.
- NOTE: There will be only one Lottery; dates will be pulled for coast-to-coast attendance as all in-person events, whether in the Los Angeles or New York City or other East Coast areas, or other international locations, have the option of being recorded and streamed live or on demand.
Date Swapping
After the Lottery, you may swap dates amongst your own programs by alerting Amy Pierce at pierce@televisionacademy.com.

Screening Program
Viewing Platforms
FYC content is presented to members digitally. You have the opportunity to choose one location to host FYC content for program category consideration:
- The Television Academy's Viewing Platform
- Your own hosted FYC platform
- Your existing platform
The fees for Emmy program categories only include emails sent from the Television Academy to voting members, which directly alert them to view your submitted programs and content. See Screening Code Emails for details.
In addition, every Tuesday email newsletter from March to June invites members to check out the Academy's Viewing Platform and all the programs posted or available via link.
NOTE:
- Regardless of viewing platform, all Emmy-eligible programming made available for member screening must be closed captioned.
- If you choose to screen your program category content on your own site, you still have the option of uploading/screening episodes for individual achievement categories on the Academy's Viewing Platform; i.e., writing, directing, acting, etc.
- Should you choose to send screening access information to voting members residing outside the United States, your FYC viewing platforms must be accessible in those countries.
Television Academy Viewing Platform
The Academy's Viewing Platform offers access to the widest variety of FYC content possible, exclusively to members. Program category entrants and individual achievement content posted on our password-protected platform is accessible on multiple platforms including Web, iOS (iPhone or iPad), Apple TV, Chromecast, Android devices (phone, tablet, Android TV), Fire TV and Roku.
Uploading Content
Please be sure your submitted content video conforms to these Video Upload Specifications.
All programs must be uploaded in their entirety, as originally aired, with the exception of performers who may edit to their appearances only. If this option is chosen, selected scenes from one or more episodes must be edited into one video. All other individual achievement category entrants can only upload one complete episode chosen for their Emmy entry.
Program series entrants may upload any, or all, episodes that aired during the current eligibility period: June 1, 2022 - May 31, 2023.
Program category entrants may also upload supplemental, behind-the-scenes video content. However, this cannot be done for individual achievement categories.
Your Viewing Site or Your Existing Website
If you, the applicable network, studio, streaming platform or production entity, choose to host content on a special viewing site, or on your platform's website, Screening Codes (provided by you) will be sent to members via a branded email from the Television Academy.
If your site requires unique access codes, at least 22,000 codes will be required - additional codes may be needed if membership count is exceeded. Complete details will be sent when your order has been submitted.
In addition, the Television Academy Viewing Platform will feature links to each FYC partner's program content.
NOTE: Regardless of where your content is hosted, no screening emails can be requested/scheduled until you have completed and submitted your FYC Screening Order and it has been approved by Sheri Ebner.
Single Sign-On
We have a single-sign-on feature from our Television Academy Platform to third-party network platforms. This is optional and will require integration between our platform and each network platform. Please email view@televisionacademy.com with any questions and/or to request the technical specifications document describing the steps to implement the single-sign-on feature.
Additional Important Viewing Platform Notes
- We suggest you provide easy-to-locate, "connect-with FYC support" messaging and/or FAQs to assist members.
- In addition, you should list the Television Academy's FYC Support email so we can assist our members when necessary. Please add: Need help from the Academy? Contact fycsupport@televisionacademy.com
- Should you choose to host your own FYC platform, please ensure it supports all devices you have noted are available for viewing.
- We suggest providing instructions on your log-in page in the event your site requires a multi-step process before any programming can be selected and/or viewed for easier member navigation.
Reminder: Collecting Television Academy member contact information is not permitted, via your own screening sites or at FYC events. This includes phone numbers, email or home addresses, credit card information, etc.
Booklets
You may create hard copy or digital booklets for promotion via emmy magazine only. For information, contact Rose Einstein at einstein@televisionacademy.com
Fees
Fees are calculated based on the number of programs featured on either the Academy's Viewing Platform, the partner's FYC site, or the partner's platform, as defined on the Screening Program Fees pages.

FYC partner payment is collected upon submission of an FYC Screening Order form. The Television Academy reserves the right to audit partner participation in the FYC program and collect fees accordingly.
Screening Code Emails
Screening Code Emails for Program Category Consideration
The Television Academy will send a single, dedicated email each month during FYC season (March 6 - June 14) to members, including unique FYC Screening Codes provided by you, if your Emmy-submitted content (in program categories) has been uploaded and is ready to view on either the Television Academy viewing platform or your own viewing site. Emails are not accrued per month, and cannot be sent until there is content available for viewing.
For example, if your viewing site or content is not uploaded/ready until May, you will not be able to have Screening Code email(s) sent in March or April, but will have the opportunity to send one in May and one in June. However, if your FYC viewing site or content is launched in March, you will have the opportunity to send one Screening Code email each in March, April, May and June.
NOTE: Any orders placed beyond June 1 will not be eligible for an email to members.

- A generic/easy to remember viewing code is recommended. For example, [your network/studio's abbreviation] FYC2023 [XXXFYC2023]
- If your site requires unique access codes, at least 22,000 codes will be required and provided by you in a spreadsheet. Additional codes may be needed if membership count is exceeded.
- Not required if uploading video to Television Academy's Viewing Platform
Screening Email Timeline and Asset Delivery:
- Request your desired earliest "send date" by emailing fyc@televisionacademy.com. You are permitted to select any day, Monday through Friday, March 6 - June 14, 2023.
- The Television Academy makes no guarantees for requested send dates.
- If the requested send is in two (2) weeks or less, assets MUST be delivered when you send the initial email to the FYC Team.
- See all chosen and available dates via the 2023 Screening Emails Calendar.
- You cannot select your send date(s) until you've submitted a completed FYC Screening Order form.
- Within 2 - 3 business days the Television Academy will alert you to the scheduled send date. The Television Academy will do their best to match your request, but scheduling will be determined on a first-come, first-served basis with consideration of requested dates and existing email schedule.
- Two (2) Weeks Before Send Date: All assets are due.
- Please use the FYC Assets form to deliver files to the FYC Team.
- One (1) Week Before Send Date: Academy sends test email for partner review.
- The Television Academy will send earlier than scheduled date, IF the email is finalized early AND there is room in the email schedule. We will never send the email before the earliest date noted on your initial request without your authorization.
NOTE: For the reminder emails, you may submit new creative as long as it adheres to guidelines and specs for emails sent through May. All new creative must be submitted one (1) week before the requested send date.
For reminder emails sent in June, we will reuse assets from the previous emails sent per your preference.
No more than five entities can send a Screening Code email on a single date March 6 - June 1. If your desired date already has five entities scheduled, you will select the next available date. No more than eight entities can send a Screening Code email on a single date from June 2 - June 14. If your desired date has eight entities scheduled, you will select the next available date.

Email Design
- Email background may be black or white. Please specify your preference when sending your Screening Code email assets.
- Text may be in any color. Colors other than black or white must be provided as a hex #.
- All email body copy will be in Helvetica font and centered.
- Gold FYC bars and disclaimer will be added by Television Academy.
- Customization of promotional emails is limited to key art, viewing information, and the above.
- Files will be rejected if they do not meet the requirements.
NOTE: While you may feature whichever programming your platform is promoting on Screening Code email key art, no individual program can be called out or linked to unless it is the sole program that you are putting up for consideration - all links will drive to your broader available programming.
Key Art
Requirements
- Dimensions
- 650px width by 390px height.
- File size maximum 300KB.
- Accepted file types: jpg, png, or gif at 72dpi resolution.
- Creative may feature multiple properties in its design as long as the design adheres to email specs and guidelines.
- Animation IS allowed, but please keep in mind that animated gifs must
adhere to file size maximum. Simple animation works best. - DO NOT include the gold "For Your Consideration" language or gold banners at the top of your key art design as the banners are part of the email template.
- DO NOT include laurels of any kind.
- DO NOT include seals, badges, or emblems of any third party (i.e. Rotten Tomatoes Certified Fresh).
- DO NOT include blatant campaigning language (i.e., VOTE, CHOOSE, anything along the lines of VOTE FOR ME... appropriate language will ask that viewers CONSIDER their show).
- DO NOT include categories you are submitting for.
- DO NOT create separate assets for each submitted program. You are only permitted ONE key art that can contain a title or titles you have submitted.
- Only programs that are uploaded for submission can be included in your key art.
- A maximum of three press quotes or taglines are permitted, but on key art ONLY; the press quote(s) MUST come from legitimate sources that are credited on the art.
- If art contains previous Emmy mentions, specific language MUST designate both the award/nomination that the show/talent received, as well as the year. For example:

Screening Codes
All Screening Codes must have an expiration date of September 30, 2023. Notification of this must be visible on emmy magazine ads and other ad materials. Screening Codes must NOT contain any spaces or any of the following special characters: & # ; : < > – " " = _ .
Naming Conventions for Screening Code Email Assets
For files sent to the Television Academy, it is imperative that file names include 2023-fyc, be all lowercase, words separated by hyphens (not underscores), and no spaces. Do not include any of the following special characters in your file name: + * : ? < >

Emmy Magazine
In addition to a promotional email, you may also distribute screening access information in emmy magazine, through the options below.
NOTE: If your emmy magazine ad is your only means of FYC campaigning through the Academy, FYC fees, in addition to ad rates, will apply as defined on the FYC Fees page. This applies to networks, streaming platforms, studios, production entities and individuals.
Screening Codes
All Screening Codes must have an expiration date of September 30, 2023. Notification of this must be visible on emmy magazine ads and other ad materials. Generic/easy to remember codes are recommended. For example, [your network/studio's abbreviation] FYC2023 [XXXFYC2023]. Single or Multi-Page Ads
Screening Code information may be contained in single or multi-page ad creative, within gatefolds and inserts, and even on cover wraps, bellybands, etc. Options can be discussed when orders are placed. All materials must be recyclable and cannot be made of plastic, metal or laminate.
Outsert Promotional Booklet
One outsert booklet is available per issue of emmy magazine (as inventory permits).

Promotion Between Voting Rounds
The Academy does not offer or sanction any FYC campaign events during voting or in between voting rounds. If you host an event promoting your Emmy-eligible or Emmy-nominated program during either period of time, you may not promote it as an official Emmy FYC Event. There will be no access to invite the Television Academy membership to such events.
After our nominations announcement, we are happy to work with you on congratulatory messages and ads. Those materials may contain your FYC elements: "FYC" as part of your URL, your hashtag or social messaging, your branded logo lock-ups, or on your website for viewing nominated content.
We will provide brand-appropriate Emmy statuette imagery and usage guidelines for your congratulatory ad/messaging to place across different media, but request that you review those materials with us. Please send materials to fyc@televisionacademy.com.

Events
FYC Events can be produced in several ways:
- In-Person Events
- Wolf Theatre at the Television Academy's headquarters
- Offsite Venue
- Virtual Events (pre-recorded)
- Live Streaming/VOD Events
NOTE: Hybrid Events – Any of your in-person events can be simultaneously streamed live or recorded as a VOD, maximizing your outreach to Emmy voters. If you choose to go with a live-streamed event, please be aware this will require two separate invitations resulting in two administrative fee charges.
Though all FYC events must allow for the presence of a Television Academy representative, such representative will not be available for every off-site in-person event for the 2023 season. The Television Academy will continue to provide the usual administrative support around every FYC event, and a Television Academy representative will always be present at events in the Wolf Theatre. For both on-site and off-site events, FYC Partners will be required to:
- Provide staffing and manage check-in and stand-by lines
- Track attendance and return completed RSVP list to the Academy
- Notify us of any member-related issues by emailing fyc@televisionacademy.com
NOTE: All FYC events are subject to change based on updated and ongoing COVID-19 protocol guidelines set forth by the Los Angeles Public Health Department, Los Angeles City and County offices, similar bodies in New York or any location outside of Los Angeles, and the CDC.
In-Person
In-person events may be held at the Television Academy's Wolf Theatre (only on weeknights at 7:00 PM PT, and Saturdays in May and June for the 3:00 PM or 7:00 PM PT time slots) or at a venue of your choosing. While these events will not be produced by the Television Academy, specific guidelines do apply. Partners will need to follow the requirements that are listed below in addition to Los Angeles County and/or other area Public Health guidelines.
Requirements:
- Proof of vaccination or negative PCR test results are no longer required (but subject to change) to attend events on our property . Partner's individual COVID protocols may vary.
- If your event is held at the Wolf Theatre, the Partner must have disposable face masks available for attendees who wish to wear them.
- Stand-by lines for admittance ARE permitted for in-person events. Please specify at the time of booking if you will allow this at your event. Please note that all events at the Wolf Theatre will have a stand-by line.
- Though all FYC events must allow for the presence of a Television Academy representative, such a representative will not be available for every off-site in-person event for the 2023 season. The Television Academy will continue to provide the usual administrative support around every FYC event, and a Television Academy representative will always be present at events in the Wolf Theatre. Partner will be required to:
- Provide staffing and manage check-in and stand by lines
- Track attendance and return completed RSVP list to the Academy
- Notify us of any member-related issues by emailing fyc@televisionacademy.com
- For all in-person events, partners will be provided RSVP and check-in lists via Zkipster by 10:00 AM PT the day of the event, used for all in-person FYC events.
- You will be provided in advance with a login and password for the duration of your event(s) only, from Amy Pierce.
- RSVPs will be imported no later than 10:00 AM PT the day of your event - that is your final list. (More than 24 hours notice is required to allow members sufficient time to cancel without penalty, and other members to move up from the waitlist.)
- Partners are responsible for downloading the Zkipster app onto their own mobile devices or tablets and managing check-in for their off-site events.
- iPads will be provided for events taking place at the Wolf Theatre if needed.
- No gifting other than food and beverage consumed on site will be allowed.
Optional, but Recommended:
- You may choose to record your event, and you have the option to simultaneously live-stream panel components only (no program content can be live-streamed).
- Partner will be responsible for all logistics and execution of recording.
- All recorded in-person events can be delivered post-event to FYCAssets@televisionacademy.com to be hosted as VOD/supplemental content for members on the Television Academy Viewing Platform.
- For in-person events, if you choose to provide a rideshare voucher in order to manage parking constraints, it must be timed only for use around your event; pickup and dropoff must be geo-gated to your event venue and value may not exceed $50 per voucher.
- Rideshare code(s)/links must be provided at time of invite launch to be included in member RSVP reminder emails and on the event page. Otherwise, a $2,500 admin fee will be charged to create a new email and distribute to RSVPs.
- For virtual events, food and non-alcoholic beverage service is optional for a $2,500 administrative fee, and must be distributed through a food delivery service such as Uber Eats, DoorDash. The maximum value of voucher is $50 and should be restricted to use day of event.
NOTE: All FYC events are subject to change based on updated and ongoing COVID-19 protocol guidelines set forth by the Los Angeles Public Health Department, Los Angeles City and County offices, similar bodies in New York or any location outside of Los Angeles, and the CDC.
Live Streaming/VOD Events
Any FYC event either virtual or in-person may be live-streamed. We recommend considering hybrid events to maximize member reach.
Live streams must be contracted at least ten (10) business days before the event date. The stream will go live on the Television Academy viewing platform website (view.TelevisionAcademy.com) and will remain available as VOD until the end of the FYC Season (September 30, 2023).
You may either stream the event directly to the Television Academy Viewing Platform, or you may host on your own platform – but you must provide an embed code from your chosen live player (ex: Livestream, YouTube, custom player, etc.) for the Television Academy to publish on our platform no less than five (5) days before the event date.
You may use your own viewing platform to host your events based on the following requirements:
- Members may be sent to your platform provided your event content is hosted behind an "access" wall - meaning members who have RSVP'd would be required to input a password in order for admittance. All live-streamed events can be delivered post-event to FYCAssets@televisionacademy.com to be hosted as VOD for members on the Television Academy Viewing Platform.
- If your content cannot be securely hosted behind an "access" wall because you are live-streaming using a public-facing player (e.g., YouTube, Facebook), it must ALSO be posted on the Academy platform and members will be sent to the Television Academy Viewing Platform to view.
- Event Password for members to access your platform will be included in the event invitations and must be provided at the time of assets delivery.
- If you are providing an advance screening of program/episode content, a link to view this content must be provided by you at the time of assets delivery and will be included in the event invitation.
All events will go live at your contracted event time.
- Be sure to acknowledge the agenda of your event with an intro slide or VO that informs members if a screening is followed by a Q&A or vice-versa, even if this may have already been called out in your invite.
- If your VOD presentation allows members to "fast-forward," you may also consider noting the time the panel will start for people who may have watched the show and want to jump to the discussion.
NOTE: On Fridays through Sundays when live-streaming is NOT available on the Academy platform, you may produce and host a live stream on your own platform, but only if it can be securely hosted behind an "access" wall.

Virtual Events
Regardless of which execution you choose for your 2023 FYC Events, please make note of the following rules and regulations. This ensures parity and safety for everyone involved.
Virtual Streaming Events
- Virtual events DO NOT have to happen "Live" – you may provide a pre-recorded screening/panel or VOD that can run on your property's selected date.
- Virtual events may take place on your own secured platform behind an "access wall" – meaning you have a passcode/unique pass or members are given individual unique links in order to watch, or you may host on the Television Academy Viewing Platform.
- If you have one code for access, please include that with your invite copy.
- If you require individual unique codes/links, please provide a spreadsheet at the time of invite review.
- The total value of food and beverage offering must not exceed $50 per person. If you have concerns or questions, please contact: Amy Pierce at pierce@televisionacademy.com
- Partnering with local restaurants for food pickup for virtual events is permitted, but may only be facilitated for pickup or delivery via a food delivery service such as an Uber Eats, DoorDash etc.
- The number of members receiving food and beverage can be capped.
- If you are providing refreshments for virtual events, it will be noted under the RSVP button in the event invitations as an added incentive for members. Please specify at the time of booking whether or not you will be doing so.
- A $2,500 administrative fee will be charged to cover distribution of codes/links to members, member services and troubleshooting.
- Promotional gifting/swag is not permitted.

Refreshments
NO promotional gifts/swag may be distributed in 2023, regardless of event execution.
However, food and beverage/refreshments are welcome at all events.
There is a $50 total value limit per member per virtual event, regardless of number of programs within any individual event and regardless of event execution.
Virtual Events Food and Beverage
If you plan on providing code(s)/link(s) for food delivery redemption for virtual events, you must provide the maximum/cap number of codes you will make available in your booking order form. Please provide all codes (ideally in a spreadsheet) by the due date noted in your booking email, as well as any redemption instructions and restrictions.
A $2,500 administrative fee will be charged to you and will cover emails with your food and beverage codes sent to members by the Television Academy on your behalf, as well as member services and troubleshooting. Please note there is no additional customization permitted beyond place of redemption, redemption code(s)/link(s), value and redemption instructions/restrictions.
Event Booking
Once you have secured your FYC event date(s), you may begin the booking/contract process. See the FYC Event Booking form to get started.
Event Booking Timeline:
- Eight (8) weeks out: Challenges can begin from the earliest FYC date and will continue on a rolling calendar. If challenged, the slot holder will have 24 hours to either book or release the date.
- If you as the original date holder are being presented with a challenge, you have 24 hours to either book the date/time slot or release it to the challenger.
- If you book, you are committed to that date and will be invoiced the $5,000 event admin fee. If you cancel that date after an email has been created, you will receive an additional $2,500 cancellation fee.
- If you are the challenger and win the date/time slot, you are committed to that date and will be invoiced the $5,000 event admin fee. If you cancel that date after an email has been created, you will receive an additional $2,500 cancellation fee.
- If you as the original date holder are being presented with a challenge, you have 24 hours to either book the date/time slot or release it to the challenger.
- Five (5) weeks prior to your event date is the deadline to confirm and book your selected date and time slot for an FYC event. Confirming earlier is welcomed!
- If you have not confirmed your booking or released your date at the five (5) week mark, we'll notify you that you have 48 hours to make a determination – otherwise your date will be released automatically.
- If you confirm booking, either via email or the booking form, you are committed to the date and will be invoiced the $5,000 event admin fee. If you cancel, you will not be refunded.
- Four (4) weeks out: commit to event details and supply assets for email invitation.
- Before the event: the Television Academy will send reminder emails to the RSVP list 72 hours before each in-person, live-stream or virtual event.
NOTE: Every week assets and event details are delayed will incur a $2,500 penalty fee.
Reminder: Entities can only book for the time slots that they select - one 4:00 PM PT slot for in-person in NYC/East Coast or a 5:00 PM PT virtual slot, one additional 5:00 PM PT virtual slot, and two 7:00 PM PT slots each weeknight; two 11:00 AM, two 3:00 PM and two 7:00 PM (all PT) slots every Saturday and Sunday.
- If you have a 5:00 PM PT slot on a weeknight, you are only permitted to book virtual events. You may start earlier, but no earlier than 4:00 PM PT.
- If you have a 7:00 PM PT time slot regardless of weeknight or weekend, you may book any type of FYC event - virtual or in-person. 7:00 PM PT time slots do not have the opportunity to begin earlier.
- Doors open/Entry start may be up to 60 minutes before the event.
- There may be an opportunity to have an earlier start time if, and only if, there is no event, regardless of type, prior to yours.
Date Swapping
After the Lottery, you may swap dates amongst your own programs by alerting Amy Pierce at pierce@televisionacademy.com.
If you are swapping dates amongst your parent company and its programming, you must assign ONE representative to provide date swaps for ALL entities and their programs, and communicate that to Amy Pierce.
Concurrent Events
With the exception of the week of March 6, the Wolf Theatre will be available for In-Person and Virtual FYC events during the 7:00 PM time slot on weeknights, unless otherwise noted. The Wolf Theatre will remain dark on weekends for all March and April FYC events; all official FYC events on weekends during that time, regardless of type, will have to be held off-site or booked as Virtual or VOD events.
Beginning May 6, the Wolf Theatre will be available to book on Saturdays for either the 3:00 PM or 7:00 PM time slots only. Sundays will remain dark and all official FYC events will have to be held off-site or booked as Virtual events.
Whichever entity submits a Booking Form first has priority to book the Wolf Theatre. The second entity to book will have the second choice to host their event at the Wolf Theatre, if available, or offsite, and so on. Once the Wolf Theatre is booked, the party with the remaining concurrent position holds will be notified.
NOTE: Only one (1) event can be booked at the Wolf Theatre per day, first come, first serve, to allow proper setup and management of cleaning and COVID-19/health department protocols. You may still book the Wolf Theatre for pre-recorded production during regular business hours Monday – Friday as availability permits. The Wolf Theatre will not be available to host virtual events on weekends except as noted above.
Date/Event Type Changes and Fees:
- After booking, if you change a date for the same title only, no cancellation fee will be incurred – if an invite has not yet been built (in either review or send phase).
- You will incur a penalty fee of $2,500 if, after booking:
- you change that date to a different title, so a new invitation must be created, and the original title invitation scrapped
- you change a date for the same title only, and a copy change is needed for an invite has been built (assets received, in review),
- you change the type of event (i.e. in-person to virtual), and an invite has been built.
Canceled Events
If you confirm booking, either via email or the booking form, you are committed to the date and will be invoiced the $5,000 event admin fee. If you cancel, you will not be refunded. You will be charge an additional $2,500 cancellation fee if you cancel that date after an email invitation has been created.

Upon booking your event/event date, the process for email invitations to members for all virtual and in-person FYC events will begin. All invitations are sent by the Television Academy's FYC team.

Communications
There are several ways to communicate with members about your FYC program(s):
Event Invitations
Invitations to members for all virtual, in-person, and hybrid FYC events are sent by the Television Academy's FYC team.
Email invitations are sent Monday through Friday during FYC season; they will not be sent on Saturday or Sunday, with the exception of "tune-in reminder" emails when applicable.
Timing of email invitation distribution to members is at the discretion of the Television Academy. We will always prioritize invitations with the earliest event date, but cannot hold back invitations for subsequently scheduled events that are approved and ready.
The event administration fee of $5,000* includes:
- The building and distribution of the FYC event email invitation to Television Academy members.
- One additional "tune-in reminder" or RSVP reminder email.
- Building of FYC event page with RSVP button on the Television Academy website.
- Handling of RSVPs; check-in list creation via Zkipster.
- Handling uploads and hosting live-stream and VOD on the Television Academy website.
FYC Event Invitation Timeline:
- Four (4) weeks out - All materials as outlined on the specs at the link below are due to the Television Academy, including access codes for any advance screening/event link, and whether or not you plan to offer food and beverage so it can be noted in the invites. Upload files via the FYC Assets upload link provided upon event booking.
- Email invitations are created by Television Academy staff using a standard template.
- Three (3) weeks out - The Television Academy sends an email review of the invitation to the partner. Changes or updates requested by the partner are made and final email review is sent. Provide your food and beverage codes/links/detailed information if applicable.
- Two (2) weeks out - email invitation goes out to membership.

NOTE:
- Every week assets and event details are delayed will incur a $2,500 penalty fee.
- Failure to deliver information and assets on time risks your event date being missed, and compromises the ability to thoroughly test and deliver your content to avoid technical issues.
- If there are production or technical issues, your event will be presented as VOD after the event date if it is virtual or being recorded. Should this happen, members will be notified to watch once the VOD is available.
RSVP DATA: RSVPs will be collected regardless of the type of event you choose. However, because virtual events most likely have no capacity limit, members will not receive a "no-show" if they don't attend. In-person events will maintain the RSVP and member no-show policies of previous years.

Email Invitation Design:
- Email background may be black or white. Please specify your preference when sending your invitation assets.
- Text may be in any color. Any color other than black or white must be provided as a hex #.
- All invitation copy will use Helvetica font and be centered.
- Red FYC headers, footers and disclaimer are standard and cannot be customized. They will be added by the Television Academy.
- Customization of email invitations is limited to key art, event information, and the above.
- We reserve the right to reject any files and copy if they do not meet the requirements.

- DO NOT include event information (date, time, locations, seating policy, guests, parking, RSVP) in the key art. This should be sent as copy/pastable text as outlined below.
- DO NOT include laurels of any kind.
- DO NOT include blatant campaigning language (ie. VOTE, CHOOSE, anything along the lines of VOTE FOR ME etc.).
- DO NOT include specific Emmy categories on the key art.
- DO NOT include show tune-in (i.e. "Mondays 8PM" or "Streaming Now")
- Promotional copy: a maximum of three press quotes or three "taglines" per property are permitted, or five press quotes/taglines total for multi-title event. Press quotes MUST come from legitimate sources which are credited on the key art.
- If art contains previous Emmy mentions, specific language MUST designate both the award/nomination category, as well as the year.

Invitation Copy
Include all copy for the event invitation information on the FYC Event Booking form. Copy MUST specify the following:
- Date
- Event start time
- Panelists/panels
- Location and venue of event (in-person ) AND/OR link to where the virtual event can be accessed (if you will have both an in-person and simultaneous virtual event, please include link to view as well).
- Parking/Transportation Instructions (if applicable).
- Link to and/or verbiage for venue ADA/Accessibility accommodations (this information will be linked to in the footer of the invite).
Mask/Vaccination Requirements (if applicable).
Any changes/additions after an invite is sent will be reflected on the event page on the Emmys website only as we are able to accommodate.
Any last-minute member communication requests (following the member confirmation email) will incur a $5,000 fee. However, such additional messaging is not guaranteed and will be accommodated at our discretion.

Do not include any of the following special characters in your file name: + * : ? < >

Asset Delivery:
Compress all the graphics into a single .zip file. On the confirmation email you receive after submitting the FYC Event Booking form you will find a link to upload that .zip file.
Assets that do not strictly adhere to the above specifications and naming conventions will be rejected until they are corrected. This may create a delay in the production and launch of your invitation.

Partner Options During the WGA Strike
In light of the WGA strike, network partners with BOOKED FYC events have the following options:
- Proceed with the event as originally scheduled and contracted.
- No changes to event programming or panelists.
- No additional communication to members is required.
- No additional fees incurred.
- Proceed with event as scheduled with an adjusted panel, OR WITHOUT panel - screening and reception only.
- FEE OPTION: Partner may send an additional email communication with updated panel details for a $1,000 fee, reduced from the standard $2,500 additional communications fee. Event page is also updated with new event details.
- NO FEE OPTION: Panel details updated on event page but partner opts NOT to send an additional email communication, with the following already in place across the board by the Television Academy:
- Television Academy's weekly newsletter reminds members to check frequently for event/panelist changes before RSVP-ing/attending.
- Television Academy updates standard language in confirmation emails to note possible strike impact and remind recipients to check the event page for up-to-date event details.
- Television Academy includes and emphasizes "subject to change" note in ALL invitations and event pages (already in place).
- Cancel event.
- ADMIN FEE ONLY: If invitation has already been sent to members, invite administration fees ($5,000) and any penalty fees ($2,500) already incurred will stand and no reimbursements will be issued
- Cancellation email to be sent for no additional charge/fees. Event page and FYC calendar will be updated as "CANCELLED."
- NO FEES: If invitation has NOT been sent to members yet, all fees (administration, late fees, cancellation fees) will be waived. No additional communication is required.
Cancelling an event that is not yet BOOKED (contracted) will incur NO fees. Please make sure to release your date(s) if you do not plan to use them.
NOTE: To proceed with an event, we need your commitment, contract completed, and all assets delivered for invitations no less than three (3) weeks prior to your event. Late booking and asset penalty are still in place for events that proceed.
