2019 Important Dates:
FYC Event Lottery: Tuesday, January 8, 9:30AM

There are two calendars of FYC dates, one for each track (A & B).

FYC Event Date Lottery

  • The Lottery will be held Tuesday, January 8 at 9:30AM at the Television Academy. Click here to RSVP for the Lottery by December 21.
  • When you RSVP, you must specify the number of programs for which you want to draw event dates. This will be a fixed number and there is no guarantee that additional programs/event dates will be accommodated on the day of the Lottery.
  • All entities should collaborate in advance to confirm that program entries of mutual interest will secure only one booking per program.
  • Each date will have three hold positions available: 1, 2, 3
  • All nights on the calendar are now competitive and will have two tracks: A or B (see below). The weekends will feature 3 slots: 1 daytime and 2 evening on Saturday AND Sunday.
  • The Lottery will be comprised of only one round of date selection. Lottery participants will be called to draw numbers in random order. When called, the participant will draw a number for each program they have RSVP'd for.
  • Specific program titles must be named for each date selected in Lottery. Note: properties may be combined into a single event however each show may only be promoted at one event.
  • Each entity will name a "1st position choice date," "2nd position choice date" and "3rd position choice date" for each program.
  • Each program and event slot will have no more than 3 position choice holds.
  • Event producers will have until 5 weeks prior to their selected event date(s) to sign contracts, or they must release the date to the 2nd or 3rd position choice holds.
  • After the Lottery, you may swap dates among your own programs by alerting Television Academy staff. All positions holds (1st, 2nd and 3rd) must be swapped together.


FYC Event Date Lottery - NYC

  • Lottery: Thursday, January 17, 2019 - 10:00AM PT / 1:00PM ET
  • You do not need to activate video on your end to participate on the call.
  • Follow along on your device by adding the calendar.
  • The NYC calendar will be open for FYC events March 1 through June 9, seven days a week. There will be no competitive events.
  • We will call entities in random order to select one numbered pog per property requested. A Television Academy staff member will draw the pogs on behalf of each entity and the process will be visible on the video call.

Event Booking Timeline:

  • Lottery: Tuesday, January 8, 2019 - 9:30AM
  • NYC Lottery: Thursday, January 17, 2019 - 10:00AM PT / 1:00PM PT
  • Challenges begin 8 weeks out from earliest FYC date and will continue on a rolling calendar. If challenged, the first hold will have 24 hours to either contract or release the date.
  • 5-8 weeks out from event date - initiate booking by requesting Theatre Booking Form or Offsite Booking Form from Victoria (fyc@televisionacademy.com).
  • 5 weeks out from each event date – contract completed
  • 4 weeks out - commit to event details and supply assets for invite
  • DAY OF EVENT: The Television Academy will collect RSVPs and provide a guest count upon request. Final RSVP list will be generated the morning of the event at the latest (weekend event RSVP closes on Friday) and provided at the time of the event on Television Academy iPads for check-in. A Television Academy representative will be present at each event to support partner/member needs. This representative will bring the iPads and take RSVP data upon completion of the event.


Competitive Night Booking
On Competitive Nights, both the A1 and B1 hold have first priority to book events for that date. Whichever entity submits a Booking Form first has priority to book the Wolf Theatre. The second to book will have second choice to host at the Wolf Theatre, if available, or offsite. Once the Wolf Theatre is booked, the party with the other first position hold will notified and they will still have first priority to book the date offsite. If both entities choose to go offsite on a weekday competitive night, the Wolf Theatre Blackout Fee will be split between the two, for a fee of $2,500 each.

Note: Weekend slots are off site only and therefore not subject to this theatre buyout fee.

Dropped Holds
When a date is booked, all subsequent holds for that same program are released. Also at the time of booking, 2nd and 3rd holds on that date will be removed and those entities will be able to place a new 2nd or 3rd hold on the calendar for those programs if dates are available.

When a first hold is released, the 2nd and 3rd holds each move up one position in priority and will be notified when they are in the first position. The Google Calendar will always be up to date on hold positions. We'd suggest that you keep an eye on the calendar for possible openings as we will not be holding additional lotteries. RSVP Procedures - NEW FOR 2019
In an effort to increase and diversify attendance, all events will accept RSVPs in the form of an RSVP Lottery. Members will submit a registration request, which will be entered into a random lottery drawing. Members whose requests are selected in the drawing will receive an email confirmation of their registration within 48 hours of their request.

All Events: Invitations
Postcards are not being offered as an FYC Event Invitation option in 2019.

Email invitations will be sent Mondays through Thursdays during FYC season; they will not be sent Fridays, Saturdays, or Sundays.

The timing of email invitation distribution to members is at the discretion of the Television Academy. We will always prioritize the invitation with the earliest event date, but will not hold back invitations for subsequent events that are approved and ready.

The events administration fee of $3,500 includes the creation and distribution of FYC email invitations to Television Academy members, and RSVP management prior to event, iPads for check in, and a Television Academy representative on-site.

Invitation Timeline:

  • 4 weeks out - All materials as outlined on the SPECS at the link below are due to the Television Academy. Send files to Brianne (fyc@televisionacademy.com).
  • 3 weeks out - The Television Academy sends an email test of the invitation to the FYC event presenter. Any changes or updates requested by the presenter are made and final email test is sent.
  • 2 weeks out - email invitation goes out to membership.

Events at the Wolf Theatre

Offsite Events
Offsite events hosted during competitive weekday nights will incur a Wolf Theatre Blackout fee if both parties choose to host offsite. The $5,000 will be split by the two parties for a fee of $2,500 each.

Competitive Nights
Film Group dates (weekdays and weekends) are considered competitive.

Television Academy member events may affect the availability of the Wolf Theatre - these dates will be noted at the time of the Lottery.

This year, competitive dates are being offered Monday through Sunday throughout the entire FYC Season.

Parking/Rideshare
Rideshare codes in lieu of/in addition to paid parking are permitted and not subject to gift value restrictions (no cash reimbursements allowed). This information must be submitted at the time invitation details are due, or an additional email blast fee will incur.

Attendee Promotional Giveaway
There is a $25 value limit per program on attendee gifts/promotional giveaways at FYC events.
